Managing Exchanges
An exchange is owned by the organization that creates it. As an admin user in that organization, you create the exchange, control its branding, decide which organizations can browse and publish, and curate which listings are featured on its landing page. All of it happens under Publish → Exchanges.
Managing an exchange requires user management permission, as does reaching Publish at all. Browsing exchanges does not: every member of your organization sees the ones it can access under Exchanges. See Roles and Permissions.
Publish also appears only once your organization can publish somewhere — it owns an exchange, or holds the Post role on one (see Finding an Exchange). If it has neither yet, contact Earthmover to have your first exchange set up.
Creating an Exchange
To create a new exchange:
- Go to Publish → Exchanges
- Click New Exchange
- Fill in the exchange details:

- Click Create
The slug cannot be changed after the exchange is created, so choose it carefully. Seven slugs are reserved — new, create, settings, members, listings, exchange, and can-post — and picking one fails with an error saying so. Everything else (display name, description, visibility, and branding) can be edited at any time.
Reaching the page through a Post role rather than ownership does not by itself let you create exchanges: New Exchange is disabled and reads Exchanges are not enabled for this organization until exchange creation is turned on for your organization. Contact Earthmover to have it turned on.
Creating an exchange takes you to its settings page, where you invite member organizations and configure branding. To return there later, open Publish → Exchanges and click the gear icon on the exchange's row.
Branding Your Exchange
From the exchange's settings page, click Edit to customize how the landing page looks:

The same dialog edits the display name, description, and visibility. It shows the slug but cannot change it.
Managing Member Organizations
Exchange access is granted per organization. The Member organizations table on the settings page lists every organization with access, and its Membership role column shows whether each one is Posting (can publish listings to the exchange, and browse and subscribe to them) or Read-only (can browse and subscribe, but not publish). Your own organization can always post and is not listed. See Membership and Roles for details on the two roles.
New members join by invitation, in three steps: you create an invitation, you send its code to the organization you want, and someone there redeems the code — which puts their organization in front of you for approval. Redeeming grants nothing on its own, so approving is the step that creates the membership.
Inviting an Organization
- On the exchange's settings page, find the Invitations table and click New invitation
- Choose the membership role the invitation grants once approved: Read-only or Posting
- Optionally add a private note, shown only to you in the invitations table. It is a reminder of who the invitation was for; it does not restrict who can redeem the code
- Click Create invitation
- Copy the invitation link, or the code on its own, and send it to your contact
- Click I've saved the code
An invitation code looks like EMX-XXXX-XXXX. The link opens the redemption page with that code already applied — send the link unless your contact needs the code on its own, to retype or dictate.
An invitation names a role, never an organization. Redeeming it lets the recipient pick one of their organizations to join the exchange, and that choice comes back here for your approval. The invitation stays usable until it is redeemed or you revoke it.
The code is shown once, when you create the invitation. It cannot be looked up or re-sent later, so copy it before you leave the dialog. If you lose it, revoke the invitation and create a new one.
Approving or Rejecting a Request
When someone redeems an invitation, a banner appears above the Invitations table and the invitation's row moves to awaiting your approval, naming the organization that redeemed it. That organization has no access yet.
Review the name. If it is the organization you meant to invite, click Approve. This is the step that creates the membership: every user in that organization gets the invitation's role, and the organization appears in Member organizations.
If the name is not one you expect, click Reject and choose what happens to the invitation itself:

The Rejections column counts how many times you have rejected an organization on that invitation. If one keeps attracting organizations you do not recognize, revoke it and invite your contact again with a fresh code.
Revoking an Invitation
An invitation nobody has redeemed yet shows as not redeemed and has a trash icon in its Actions column. Revoking stops the code and its link working immediately and cannot be undone — invite the organization again by creating a new invitation. An invitation you have already approved cannot be revoked; remove the member instead.
Redeeming an Invitation You Received
If you are on the receiving end, open the invitation link you were sent, or go to app.earthmover.io/exchange-invite and enter the code. Either way you see which exchange invited you, who hosts it, and under Access the role your organization would get. Then pick which of your organizations joins, under Pick organization to join.
Only organizations where you can manage users are listed, because every user in the organization you pick gets that access. If you have that permission nowhere, forward the link to an admin of the organization that should join.
Request to join spends the code and grants no access. You land on an Awaiting approval screen: the exchange's owner must approve your organization before the exchange becomes reachable. Nothing notifies you either way, so follow up with the owner organization directly if you do not hear back.
Changing a Membership Role
The Membership role column is a dropdown: pick the other role on that organization's row and the change applies immediately.
Demoting a posting member to read-only leaves any listings it already published on the exchange, and they become read-only to that organization: it can still delete them, but editing requires the posting role again. Promoting a read-only member to posting lets it publish and edit listings from then on.
Removing a Member Organization
Click the trash icon on the organization's row. Its access stops immediately; to give it back, invite the organization again.
When the organization has listings on your exchange, you choose what happens to those listings:

| Unpublish all | All of that provider's listings on the exchange are unpublished and disappear from the catalog. The provider keeps the listings and can republish them if they are re-invited. |
Removing a member never cuts off existing subscribers. Organizations that already subscribed to the provider's listings keep their data access in both cases.
Featuring Listings
The Featured listings table on the settings page lists every listing on your exchange. Click the bookmark icon on a row to feature or unfeature it. Featured listings lead the landing page in a Featured Datasets carousel, which appears only once at least three published listings are featured. A listing whose status is coming soon cannot be featured and never counts toward the carousel.
Deleting an Exchange
The Delete exchange panel sits at the bottom of the settings page. Deletion is permanent, so the dialog confirms in three steps:
- Click I want to delete this exchange
- Read the list of effects, then click I have read and understand these effects
- Type the exchange's full name —
owner/slug, shown at the top of the dialog — and click Delete exchange
Deleting removes the exchange for everyone: member organizations lose access immediately, and every invitation to it is destroyed, redeemed or not. There is no restore.
An exchange cannot be deleted while any listing still references it. Listings of every status count, and a listing's exchange cannot be reassigned, so providers must delete their listings before the deletion will succeed.
